Information we collect

We receive information you give us when making an enquiry or arranging work. This may include your name, email address, telephone number, property address, enquiry details, measurements, photographs you supply and correspondence about your project. Customer records may also include quotations, orders, installation details, invoices and guarantee or aftercare correspondence.

Please only send photographs and information relevant to your request, and avoid including unnecessary personal information about other people.

How and why we use your information

We need sufficient contact and project details to respond or carry out the work you request. Without those details, we may be unable to provide a quotation or arrange an installation.

Sharing and storing information

We share relevant customer information with CERTASS for registration purposes. Our email service is provided by 34SP and managed by our business. We keep electronic customer records on our UGREEN NAS system and make weekly cloud backups. Our customer-record storage and backup copies are located in the UK.

Email and storage providers process information as part of supplying those services. We may also disclose information where required by law. The UK storage statement describes our customer records and backups; it does not describe the independent processing practices of websites you choose to visit through external links.

Website enquiry details are sent to our enquiry-management app and a notification email is sent to our business mailbox. Attachments are included with that email. We use these records to respond and arrange requested work. When we arrange an appointment, relevant contact, address and visit details may also be recorded in our Microsoft Outlook calendar. Our hosting, email, storage and calendar providers process information to supply those services.

How long we keep records

Customer records needed for guarantee purposes are kept for at least 10 years from completion of installation. Retention beyond that period must have a continuing purpose, such as an unresolved guarantee claim, complaint, legal claim or legal record-keeping requirement.

Enquiries that do not become customer orders are deleted or shredded when the enquiry is closed. Company accounting and tax records are normally retained for six years from the end of the financial year they relate to, or longer where the law requires.

Marketing

We do not send marketing emails or text messages.

Website links

Our website links to other services, including social media, trade directories and a window-design service. If you choose to visit another website, its own privacy and cookie information applies to your use of that service.

Website and app security

We use session tokens, number checks and short-lived request counters to protect our forms and staff app against misuse. Request counters use hashed identifiers derived from connection details and, for staff sign-in attempts, the account name. We use this information for our legitimate interests in protecting our systems and personal information. Expired counters are cleared during routine use of the service.

Cookies used by our enquiry forms

Our quotation, appointment and call-out forms use a first-party session cookie called PHPSESSID. It links your browser to a temporary session so we can protect form submissions against forgery, limit repeated submissions, validate our random-number spam check and show confirmation messages. It is a session cookie, normally removed when your browser session ends; some browsers restore sessions. Blocking it may prevent the forms from working.

This cookie is used for the form service you request, rather than advertising. These website pages do not use advertising or analytics cookies. External services you choose to open, such as WhatsApp, the door designer and trade-directory pages, have their own cookie and privacy information.

Your rights

Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of processing or a portable copy of certain information. You can object where we rely on legitimate interests. These rights have legal conditions and exceptions; for example, we may need to retain records to meet legal obligations.

Where processing relies on consent, you may withdraw that consent at any time without affecting the lawfulness of earlier processing. Contact us using the details above to make a request. We may need information to confirm your identity. Requests are normally free and answered within one month, subject to applicable legal exceptions or extensions.

Complaints

Please contact us if you are concerned about how we handle your information. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We will update this notice when our information-handling practices change. The date above shows when it was last revised.
